What goes into a custom apparel quote?

Compare the total for the same specification. A blank-shirt price, an all-in decorated price and a starting estimate describe different things.

Separate the garment from the work

A complete quote should identify the exact blank and color, size breakdown, decoration method, artwork size, placements and quantity. It should also make setup, design work, packaging and delivery clear.

Brand and style matter. Two shirts with the same color description can have different fabric, fit and construction. Ask before accepting a substitute, especially when you are matching an existing uniform.

Why screen printing and embroidery have setup

Screen printing has preparation associated with the artwork, ink colors and print locations. Embroidery requires an appropriate digitized stitch file. These costs do not disappear because an order is small; dividing setup across more identical pieces changes its cost per piece.

Our current screen and embroidery setup policies are listed on Services & pricing. An unchanged approved embroidery file may avoid repeat digitizing after review. Changes to size, artwork or stitch requirements can require new work. Do not assume every reorder has identical setup.

A simple way to compare two quotes

Illustrative example only: Quote A is $20 per item plus $60 setup. Quote B is $24 per item with no separate setup. For 10 items, the totals are $260 and $240 before other charges. For 30 items, they are $660 and $720. These are teaching numbers, not our prices.

The example only helps if both quotes specify the same product and decoration. Include delivery, tax and any additional work when comparing the final amount due.

Spend where customers will notice

For a limited budget, begin with a readable logo on a suitable garment and one consistent placement. Add individual names or extra locations where they serve a purpose. Ask whether simplifying a multicolor logo changes production cost.

For a team order, gather sizes before requesting a quote. Keep a few replacement pieces in mind and ask how future reorders will be handled. A cheaper initial run is less useful if you cannot identify the blank or approved artwork later.

A deadline is part of the specification

Tell us the date you need the finished order in hand, not just the event date. Artwork approval, material availability, production and shipping are separate steps. Rush availability must be confirmed before payment.

Increasing the quantity in your shopping bag does not automatically apply a negotiated bulk rate. Send one consolidated brief when you want a team or larger-run quote.
